Understanding the Differences Between Catch-All, Forwarders, and Email Aliases

When managing emails for your domain, it's important to know how different email features work. At Vivint Host, we provide powerful tools to help you handle communication efficiently. In this guide, we’ll walk you through the distinctions between catch-all addresses, email forwarders, and email aliases-explaining what each one does, and when to use them.

Catch-All Email Address

A catch-all email is designed to receive any message sent to an incorrect or non-existent email address under your domain.

How It Works:

Let’s say someone sends an email to supportt@yourdomain.com instead of support@yourdomain.com. Without a catch-all, that message would bounce back or disappear. But with a catch-all enabled, the email is automatically redirected to a mailbox you choose-like admin@yourdomain.com-as long as the domain name is correct.

When to Use It:

  • If you want to make sure no message is lost due to typos.
  • If your business is still growing and you’re not using a strict email structure yet.
  • When handling large outreach campaigns where people might mistype addresses.

Note: Catch-all can sometimes receive a lot of spam, so we recommend enabling strong spam filters.

Email Forwarders

An email forwarder lets you redirect incoming emails from one address to another automatically.

How It Works:

Suppose you have an email like invoices@yourdomain.com. You can set up a forwarder that automatically sends all messages from this address to accounts@yourdomain.com and manager@yourdomain.com.

This means you don’t need to log into the invoices@ inbox directly; all relevant messages are forwarded to the appropriate teams.

When to Use It:

  • If you want to centralize messages to multiple inboxes.
  • To simplify team communication by routing emails without duplicating accounts.
  • When using a main contact address that needs to reach multiple departments.

Optional: You can choose to keep a copy of forwarded emails or not, depending on your settings.

Email Aliases

An email alias is simply an alternative name for a single existing email account.

How It Works:

Say your main email is sales@yourdomain.com. You can create an alias like quotes@yourdomain.com. Any message sent to either address will end up in the same inbox-sales@yourdomain.com.

No separate login is needed for the alias, and no additional mailbox is created.

 When to Use It:

  • To make your email addresses more flexible or easier to remember.
  • To give the impression of different departments (like info@, support@, etc.) while managing everything from one inbox.
  • To maintain a clean and manageable mailbox structure.
